Role Overview
HighLevel is building a native document generation and management layer that powers every commercial interaction between our users and their customers — from the first estimate sent on a job to the signed contract, fulfilled invoice, and final receipt. We are hiring a Senior Product Manager – Documents to own this end-to-end vision across one of the most user-facing and commercially critical surfaces in our platform.
This role sits at the intersection of document creation, workflow automation, payment collection, and legally binding agreements. You will own the full lifecycle of commercial documents — Invoices, Estimates, Receipts, Contracts, and more — spanning both the user-facing AI-powered document builder and the automated pipelines that generate records as commerce activity flows through the platform. You will also lead HighLevel's push to build a native, in-house e-signature product designed to compete directly with standalone contract tools.
This role is ideal for PMs who have worked at the intersection of document workflows and financial products, who understand how well-designed document flows reduce friction in business relationships, and who have the product instincts to build a builder that non-technical users love — without sacrificing the depth that power users demand.
What You'll Do
Document Builder & AI-Powered Templates
- Own the roadmap for HighLevel's document creation experience — an AI-powered, drag-and- drop builder that lets users design fully custom templates for every document type.
- Extend the existing builder (currently supporting Documents and Contracts) to cover Invoices, Estimates, and Receipts with type-specific fields, logic, and layouts.
- Define how AI assistance accelerates template creation — from generating complete layouts from a prompt to suggesting fields, content, and structure based on document type and business context.
- Set standards for template management: saving, versioning, sharing, and applying templates consistently across the platform.
Commercial Document Lifecycle
- Own the full lifecycle of payment-linked documents: Estimate creation and delivery → customer acceptance → conversion to Invoice → payment collection.
- Own the automated document record pipeline: Order placed → Order document → Invoice on fulfillment → Receipt on successful payment.
- Define the rules, triggers, and customization options governing how documents move through each stage — including partial payments, payment reminders, disputes, and failure handling.
- Ensure the payment collection experience embedded within documents — pay-now flows, payment link generation, confirmation states — is seamless and conversion-optimized.
E-Signature & Contracts
- Lead the build of HighLevel's native e-signature product — a direct alternative to standalone contract tools — supporting legally binding signatures across document types.
- Define signature workflows: single and multi-party signing, configurable signing order, decline flows, tamper-evident audit trails, and certificates of completion.
- Identify which document types beyond Contracts should support signatures — such as Estimates requiring customer acceptance via signature — and build the right interaction models for each.
Catalog & Line Item Management
- Own the integration between Documents and the product catalog — ensuring Invoices, Estimates, and other commercial documents can pull line items directly from a merchant's catalog.
- Design the ad-hoc line item experience: allowing users to add one-time items inline (e.g., a field service rep creating an invoice on-site for work performed) with a clear, low-friction option to either save the item to their catalog or keep it as a single-use entry.
Cross-Functional Collaboration
- Work closely with the PIM team to ensure catalog flexibility supports document use cases, including ad-hoc line items and service-based products.
- Partner with the Commerce Operations team to ensure document events — invoice issued, estimate accepted — correctly trigger downstream order and transaction workflows.
- Collaborate with engineering and design to maintain a high bar for builder performance, accessibility, and mobile responsiveness across all document surfaces.
What Success Looks Like
- Users can create, send, and collect payment on a professional invoice in under five minutes
- The document builder is adopted across all commercial document types, with high template creation and reuse rates
- HighLevel's native e-signature product reduces user reliance on third-party contract tools
- Automated document pipelines run reliably across all order and transaction events
- Ad-hoc line item flows have no meaningful drop-off in invoice completion rates
Minimum Qualifications
- 8–10 years of product management experience
- Experience building document creation, form-builder, or workflow products
- Familiarity with payment or billing flows — invoicing, estimates, or financial document lifecycles
- Strong UX instincts with a track record of shipping complex, multi-step workflows that feel simple to users
- Ability to manage a product surface with significant cross-team dependencies
Preferred Qualifications
- Experience with e-signature, contract management, or legally binding document workflows
- Experience building drag-and-drop, no-code, or AI-assisted visual builders
- Background in B2B SaaS products serving small business financial workflows — billing, proposals, or payments
- Familiarity with document generation at scale, including templating engines, PDF rendering, and delivery infrastructure
